St. Pat’s Celebration Fund
Advisory Board Meeting Minutes
January 26, 2008

The first meeting of the Advisory Board convened at 9AM CST by telephone conference. Participants were Eric Dunning, Mike Greenway, Michael Gross, Lance Haynes, Dan Hinkle, Harvey Martin, Bill Stoltz, Paul Voss, and Marianne Ward, .

1. The first item of business was to elect a Chair and Lance Haynes was elected.

2. As of January 24 the balance in the fund is $24,690.00.

3. The St. Pat’s Board requested $17,600 for the following additional expenses associated with the Centennial Celebration:

New Formal Costumes
Parade Float Allowances and Prizes
Parade High School Band Honorariums
Parade Bagpipe Band
Coloring Book and Prizes
Fees, Permits, Enactment Expenses
Fireworks/Special Effects/Displays
Street Painting Activities
New Pine Street Decorations

After discussion of the items; the need for the current and future St. Pat’s Boards to “earn” their way*; and that the Advisory Board was specifically created to insure that result, the Advisory Board approved $11,600 for these items. *

4. The Advisory Board was briefed as to the plans and status of the bronzing of the St. Pat’s Statue.  The goal is to have the current St. Pat’s Statue bronzed in 2008 and have it “unveiled” during the 2009 Celebration to “kick-off” next 100 years of St. Pat’s.  The Advisory Board approved funds up to $13,000 for preliminary statue consultants for the siting, bronzing, move, and base for the statue.

5. The Advisory Board was then briefed on the proposal to institute annual retreats for the board and board alumni.  These retreats will be based upon business retreats that most alumni have experienced.  The retreat is designed to accomplish three things: 1) Communicate the tradition of St. Pat’s and the work of the Board/Committee; 2) Provide current Board/Committee access to Alumni and members of industry; and 3) Develop an esprit de corps that supports St. Pat’s and the University.   The Advisory Board approved that this proposal be pursued as an ongoing project until the statue is bronzed. 

 

6. The Advisory Board approved the following recognition levels for those individuals and St. Pat’s Board Classes that contribute to the St. Pat’s Celebration Fund:

All Donors to the Celebration Fund will receive a distinctive serially-numbered lapel pin;

Sustaining Donors ($1,000 - $4,999) will receive a framed and mounted photograph of the completed statue;

Patron Donors ($5,000 up) will be honored with their names on a bronze plaque on the statue base; and

Patron Classes: Each Senior St. Pat's Board class that makes accumulated donations of $10,000 or more will also be honored on a bronze plaque on the statue base. (All donations by Board alums may be designated to count toward their class donation.)

Other Items.

In response to a request from Michael Gross, it was agreed that the minutes would be placed on the web and linked to the St Pat’s MST website.

Dan Hinkle reminded the board that the Fund is a “work in progress” and that changes to the Memorandum governing the fund would probably need to be made soon. The board agreed to convene again in April and the meeting adjourned at 10:13 AM.

* In response to a request from Harvey Martin, a discussion of St Pat’s Board sales and finances followed. Paul Voss reported that the St Pat’s Board was in the black this year for the first time in a decade and that sales prospects for the Centennial appeared excellent. Several members voiced their concern that it be carefully stressed to the St Pat’s Board and to donors alike that the Fund is in no way intended to undermine or replace the St Pat’s Board’s sales enterprise. The Fund is intended for projects to elevate the St Pat’s Board beyond the scope of the annual cycle to an enduring role in the institution during the second hundred years of the celebration.
